the manor house undertake that:
- We pay commission at eight per cent on pre-booked 24 hr delegate
rate, day delegate rate and syndicate roomhire excluding VAT. We do
not pay commission on equipment hire, office services or any extras
incured by guests.
- We pay the same commission rate on cancellation fees but would
welcome your support in advising your clients of our terms of trading
prior to booking, and working with us if the client proves to be slow
in making payment
- We accept that commission arrangements are confidential between
agent and the conference centre, and guarantee not to reveal our
terms of trading to the client without your approval.
- We recognise the frustration experienced in obtaining copy accounts
and guarantee to dispatch these to you within seven days of the
event (providing the client is not disputing the account).
- We guarantee payment of your invoice within thirty days of receipt
of commission invoice.
- We recognise that you have introduced clients to us in good faith,
and we guarantee not to canvass your client for repeat business by
reducing our delegate rates by the amount of the commission
payable to yourselves.
- Should the client re-book direct with us, by-passing the agency, we
will pay full commission on the first event of any repeat booking.
- We accept that you have to consult with your client before you can
release a booking, and guarantee not to release a provisional booking
without your agreement, providing this is within a mutual agreed
time scale.
- Should we knowingly receive the same enquiry from more than one
agency we will advise you accordingly. Responsibility is then with the
agencies concerned to arrange a sole agency agreement with the
client. In the event of a dispute, commission will be payable to the
agent confirming the event with the authority of the client.
To assist us, we do ask that you always reveal the name of your client
at the time of enquiry so that we in turn are aware of which clients we
will have in our venue on any one day.
This avoids conflicts of interest, and the embarrassment of a double
booking.
As you are an integral part of this partnership, we in
turn would ask you undertake the following:
Venue finding agencies undertake that:
- We will visit or have current working knowledge of the confernce
centre, prior to booking it on the clients behalf. If a member of our
team has not visited the centre we will inform our client accordingly.
- If requested by your conference teams, we will disclose the current
status of a provisional booking.
- We will confirm all bookings in writing, identifying who is responsible
for organising the event and who is responsible for payment of the
account. If we are responsible for settling the account direct with the
confernce centre, then we will sign the contract and assume all
contractual liabilities.
- We will not mark up any rates your conference centre has quoted to us.
